Position Title: Tenant Relations Coordinator

Reports To: Quality and Operations Manager – Eden Health Care Services
Hours of Work: 0.5 FTE; 975 annual hours

Position Summary:
The Tenant Relations Coordinator (TRC) develops and manages documents and records related to tenancy and in accordance with the guidelines established by the Manitoba Housing and Renewal Corporation and the Residential Tenancies Act. This position reports to the Quality and Operations Manager. The TRC works within a team of housing professionals which includes maintenance, contract cleaners, and housing support workers.

Qualifications:
o Post-secondary education in administration or other related disciplines is required.
o High School Diploma is required.
o Experience in office and/or property management administration is required.
o Experience in customer service and/or property management an asset.
o Experience working in a social services environment is an asset.
o Experience performing various administrative, clerical and reception duties such as receiving and distributing information, managing files, and coordinating meetings.

Knowledge, Skills, and Ability:
o An executive-level ability to organize work is a critical function to this role.
o Experience and high proficiency with Microsoft Office programs (Excel, Word, and Outlook).
o Strong written communication skills with experience drafting, proofreading, and formatting correspondence with a high degree of accuracy and attention to detail.
o Ability to work with highly sensitive material in a confidential and professional manner.
o Compassion and interest in working with individuals with mental health needs, specifically in housing.
o Ability to utilize technology (heavy use of computer & cell phone).
o Excellent time management, organization, and decision-making skills.
o Ability to prioritize workloads and effectively manage tight deadlines.
o Excellent interpersonal and customer service skills.
o Excellent conflict resolution skills.
o Ability to work independently and solve problems.

Principal Duties and Responsibilities:
• Work closely with the housing staff to assist with promoting mental wellness within the community including organizing educational talks and recruiting tenants for participation.
• Collect rent.
• Complete condition reports.
• Sign and update all lease agreements.
• Terminate lease agreements whether voluntary or by eviction.
• Write and send notices to tenants.
• Complete administrative tasks, such as maintaining accurate records and creating/updating tenant files.
• Create and communicate work orders to maintenance staff.
• Provide guidance and support to tenants in dealing with disputes.
• Participate in Tenant Selection Committee Meetings.
• Answer all incoming inquiries and service requests from tenants with professionalism and courtesy.
• Maintain positive tenant relations by touring space and connecting with tenants regularly.
• Develop and maintain an effective line of communication with the housing team and provide administrative support as needed.
• Coordinate set up of parking and keys for all buildings.
• Perform other duties, as required.

Physical Demands and Working Conditions:
• Must be physically capable of carrying out the duties and responsibilities as assigned.
• May be required to respond to tenant emergencies after hours.
